Board of Education Meeting
November 23, 2009
The regular meeting of the Holy Trinity Catholic School Board was called to order at 7:25 p.m. on Monday, November 23, 2009, by President Ray Menke at Roling Hall in Ft. Madison . Fr. Spring led the prayer.
Roll Call: Present: Fr. Apo, Brad Box, Tom Gregg, Gary Hoyer, Ray Menke, Craig Pieper, Fr. Richmond, Fr. Spring, Roy Tinguely. Absent: Fr. Beckman, Jeff Denning, Loren Holtkamp.
Agenda: Item A. 2010-11 Budget under New Business was moved to the Budget & Finance Committee Report. Motion to approve the agenda by Craig Pieper, second by Gary Hoyer. Motion carried.
Minutes: The minutes of the October regular meeting were approved on a motion by Gary Hoyer, second by Tom Gregg. Motion carried.

Old Business:
Elementary Renovations: No discussion
2008-09 Financial Report: Motion to approve by Gary Hoyer, second by Brad Box. Motion carried.
New Business:
Contract Approvals: Basketball coaching contracts were approved for the following levels: 5th grade girls – Bob Schierbrock; 6th grade girls – Angie Boeding & Jeanna Orton; 5th & 6th grade boys – Tom & Amy Merschman; 7th grade girls – Dan Hickey; 8th grade girls – Kelly Sanders & Alicia Kempker; 7th & 8th grade boys – John Hellige. Motion to approve by Fr. Spring, second by Craig Pieper. Motion carried.
Administrative Reports:
Religious Education: None submitted.
Early Childhood Centers: Melissa Pieper reported that the DHS decision to charge a fee for background checks has been reversed. They will continue to be provided at no cost. Also, she reported that the preschool program at St. Paul has received a Level 4 QRS rating, equal to that of the Ft. Madison program. Finally, she stated that she is in need of substitute day care workers who are trained in CPR and first aid.
Elementary Education: Sara Mohrfeld’s report highlighted recent activities and events at the elementary building. That building was recently featured in the Catholic Messenger and students are waiting to see if any of their Christmas cards will be published in the paper. The YC Choir will be performing in the area in December & January and all students will participate in the Christmas Concert on December 16. Students are actively involved in recycling with the new trailer at the school.
Technology Report: Donna McVeigh’s report highlighted ongoing teacher training in using the Promethean boards and blogs for their websites. She also explained the recent problems with the school’s website and the steps taken to resolve the issues.
Junior-Senior High School/Chief Administrator: Doris Turner’s written report was reviewed. Shared sports agreements with Fort Madison Community Schools for the 2010-11 school year have been completed. As in past years, Holy Trinity will be the host school for girls’ soccer, while Ft. Madison will host football and wrestling. She also noted that Paul Wilkerson, who serves as the certified counselor at the high school, has resigned effective at the end of the 2009-10 school year. Updates to the school’s policy manual are ongoing and should be finished prior to the school’s Iowa Department of Education evaluation next year.
Development Director: Rich Rump stated that attendance at the Foundations’ November informational meeting was disappointing but produced good feedback. The Foundation has received a challenge grant of $15,000 and is soliciting pledges to meet the challenge. He also noted that $113,000 in donations for next year’s STO have been received and there will be no application fee for the parents next year.
Business Manager: A list of invoices to be paid was presented. Motion to approve by Gary Hoyer, second by Craig Pieper. Motion carried.
Committee Reports:
Budget & Finance: Gary Hoyer reported that the budget committee had met prior to the regular meeting and is dealing with the reality of decreased parish income and tuition revenue. Because parish income overall is down about $100,000 for the 2008-09 fiscal year and if the parishes allocate the same 60% of their income to the school, the school can expect about $60,000 less for their 2010-11 budget Also, with 37 graduates in 2010 and only 25 incoming kindergarteners expected, tuition and fees will be down by about $40,000.
Athletics: Craig Pieper asked for some background on the responsibility of paying to have the gym floor refinished. He was informed that the athletic board/athletic department at both Aquinas and Marquette had shouldered the cost of the periodic stripping, sanding and refinishing.
Buildings & Grounds: A leak in the roof at the high school has been discovered. John Lampe is investigating the source and repairs needed.
Work Session: Due to the Holy Day on December 8 and the Christmas holiday, it was decided to combine the usual meetings into one session on Tuesday, December 15 in West Point . The budget committee will meet at 4:30 p.m., followed by a work session at 6:00 p.m. to discuss the January State of the School meeting and finally the regular meeting/Christmas party at 7:30 p.m.
Adjournment: The meeting was adjourned at 8:25 p.m. on a motion by Brad Box, second by Fr. Richmond. Motion carried.
